Family Tree Dental (“we”, “us”) respects your privacy. This policy explains what information this website collects, the third-party services that process it, and the choices you have. It applies to the website only — care you receive in the clinic is covered by the privacy practices we follow as a BC dental office.

Information we collect

When you submit our appointment or contact form, we collect the details you provide: your name, phone number, email address, whether you are a new or returning patient, your preferred time, and your message. Please do not include detailed medical history in the message field — we’ll gather what we need securely once we’re in touch.

To understand how patients find us, we also store the page you submitted from and any campaign attribution attached to your visit — for example a UTM source or a Google Ads click identifier (gclid). This attribution is stored together with your inquiry and can be identifying, so we treat it as personal information, not anonymous analytics.

Service providers that process your information

We use a small number of third-party processors to run this website:

• Airtable — stores each inquiry so our front desk can respond. Inquiry data is held on Airtable’s servers (United States).
• Vercel — hosts the website and processes requests to it (United States/global edge).
• Google — Google Analytics 4 and Google Ads help us measure site traffic and ad performance. These run only after you accept cookies in the banner (see below).
• Resend — if enabled, emails our front desk a copy of your inquiry so we don’t miss it.

Because some of these providers are located in the United States, your information may be stored or processed outside Canada. We do not sell your personal information.

Cookies & tracking

Analytics and advertising cookies (Google Analytics 4 and Google Ads) load only if you choose “Accept” on our consent banner. Until then, no analytics or advertising cookies are set. You can decline, and you can clear the choice by clearing your browser’s site data.

How long we keep it

We keep inquiry records only as long as needed to respond to you and for our own record-keeping, after which we remove the personal details. [Retention period to be confirmed by the clinic before launch.]
